Terms of Service.

These Terms set out the ground rules for using Monoline’s site and services. By accessing our website, requesting an estimate, or engaging us for typesetting and publishing work, you agree to follow them. We’ve tried to keep things plain: what you can expect from us, what we expect from you, and how we handle the occasional dispute. If you don’t agree with these Terms, you should not use our services.

Services & Scope

Included in Every Project:

  • Supported file types: .docx, .pages, .odt, .rtf, .tex, .md, .txt, .epub, clean .pdf
  • Outputs: EPUB (retail-ready) and/or PDF (academic/print)
  • Figures & tables: standard formats (.png, .jpg, .xlsx, .csv)
  • Corrections: broken links, mismatched styles, orphan headings
  • QA: tested on standard readers (Adobe Reader, Apple Books, Kindle Previewer)

Excluded from Scope:

  • Translation
  • Content writing or development
  • Cover design, illustration, complex graphics, interactive media
  • InDesign (.indd), Publisher (.pub), PowerPoint (.pptx), multimedia files
  • Interactive ebooks (quizzes, embedded video/audio, scripting)
  • Version control for collaborative drafts
  • Marketing/distribution unless explicitly added

Optional Add-Ons(Available via project estimator):

  • Accessibility compliance: screen-reader optimization (PDF & EPUB)
  • Author’s website: one–two page site, white-glove Monoline build
  • Cross-references: clickable internal and external links
  • Emergency turnaround: +25% for priority delivery (72h window)
  • Enhanced typography: kerning, ligatures, ornaments, epigraphs
  • Format variants: delivery in both PDF and EPUB
  • Interactive ToC: professional navigation for readers
  • Retail pack: ISBN placement, barcodes, and distributor metadata

Scope Changes: Any requests beyond included services require written approval and separate agreement before implementation.

Project Timeline & Process

Standard Timeline: 2–4 weeks from booking payment to final delivery, depending on word count and complexity.

The process is as follows:

  • Initial quote based on project specifications
  • 35% booking payment secures project slot
  • First draft delivered within agreed timeline
  • Up to 3 revision rounds included in base price with 2 business days for client feedback per round
  • Final delivery upon completion of revisions

Emergency Projects: Available at a +25% surcharge with a 1-week target timeline. Subject to availability and may require immediate booking confirmation.

Timeline Factors: Project complexity, revision requests, and client response times may affect final delivery dates. We'll communicate any potential delays immediately.

Holiday Periods: Projects may experience extended timelines during New Zealand public holidays. Holiday schedules will be communicated in advance.

Payments

All payments are in New Zealand Dollars (NZD):

  • 35% booking fee before work begins
  • 35% on first draft delivery
  • 30% on final delivery and project completion

Payment Processing: Invoices are issued through Stripe, a secure global payment processor. You'll receive an email with a payment link.

  • Enter your payment details yourself — card, wallet (Apple Pay, Google Pay), or bank account (where available)
  • We never see or store your card or account number
  • Stripe handles the security, compliance, and transfer
  • Once paid, you'll receive a receipt automatically

Payment Terms: Invoices are due within 2 business days of receipt. All Stripe processing fees are included in our pricing. However, your bank or card provider may charge additional fees (currency conversion, international transaction fees, etc.) which remain your responsibility.

Project Commencement: No work starts until the booking payment is received and cleared in our account.

Additional Work: Additional services beyond the agreed scope require written approval and separate payment before implementation.

Overdue Accounts: Projects may be suspended for accounts more than 4 business days overdue. Final deliverables will not be released until the final 30% payment is received in full.

Refunds & Cancellations

Non-Refundable Policy: All payments are non-refundable once made. Each project is custom and time-intensive; your deposit secures our time and resources.

Legal Compliance Termination: If we uncover copyright violations, plagiarism, or other legal breaches after work has begun, the project will be terminated immediately. Refunds will be calculated as follows: [Amount Paid] – [Work Completed] – [NZD $200 Administrative Fee]. The administrative fee covers compliance checks, legal review, and time invested. If the administrative fee and completed work value meet or exceed the amount paid, no refund will be issued.

Client-Initiated Cancellations: Result in forfeiture of all payments made to that point. No refunds will be issued regardless of project stage, as all work is custom-created and cannot be resold or repurposed for other clients.

Force Majeure: In cases of extraordinary circumstances beyond either party's control (natural disasters, severe illness, etc.), refunds may be considered on a case-by-case basis for work not yet commenced.

Revisions & Completion

Included Revisions: Up to 3 rounds included, covering:

  • Formatting adjustments
  • Structure modifications
  • Reference corrections
  • Typography refinements

Additional Revisions: Beyond 3 rounds are billed at our standard hourly rate ($75/hour, minimum 0.5-hour increments).

Scope Clarification: Revisions must relate to the original project scope. New content additions, major restructuring, or changes to original specifications constitute additional work and will be quoted separately.

Client Response: Each revision round requires client feedback within 2 business days. Delayed responses may extend project timelines accordingly.

Completion: A project is complete when either:

  • The client approves the final deliverable in writing, or
  • After 3 revision rounds have been completed

Final Approval: Projects are considered accepted if no feedback is provided within 3 business days of deliverable submission.

Deliverables & Client Responsibilities

Final Deliverables: Provided in agreed formats (PDF, DOCX, EPUB, etc.) via secure digital delivery within 2 business days of final approval.

Client should provide:

  • Source files that are well-organized and structured to enable efficient formatting
  • All required assets (images, logos, fonts) in appropriate resolution and format
  • Confirmation that content is properly licensed and legally compliant
  • Timely responses to revision requests (within 2 business days) to maintain project momentum
  • Written approval of final proofs before project completion

Limitations: We are not responsible for compatibility issues with third-party software, platforms, or devices beyond our control. Client is responsible for testing final deliverables in their intended use environment before final approval.

Intellectual Property

Client Content: All materials, content, data, text, images, and information provided by the client remain the exclusive intellectual property of the client. Monoline claims no ownership rights to any client-provided materials and will not use such materials for any purpose beyond the scope of the agreed project deliverables.

Monoline Methods: Proprietary formatting templates, custom LaTeX document classes, automated production pipelines, workflow systems, and specialized methodologies developed by Monoline remain the exclusive intellectual property of Monoline. These tools and methods may be utilized across multiple client projects to ensure efficiency and consistency in deliverables.

Final Deliverables: Upon receipt of final payment in full, all completed project deliverables, including formatted documents, final outputs, and project-specific customizations, transfer to the client as their exclusive property. The client receives full usage rights and may modify, distribute, or repurpose these deliverables as needed for their private/academic or business purposes.

Portfolio Usage: All client projects and work products remain strictly confidential and will not be used for portfolio, marketing, case studies, or any promotional purposes.

Credits & White-Label

Standard Attribution: All book-related files we produce include a discreet imprint line (e.g. eBook creation: Monoline with link to our website) on the copyright or imprint page. This credit is standard in publishing and reinforces quality, accountability, and traceability.

White-Label Option: If you prefer your files to carry no Monoline credit — for example, if you are an agency or publisher reselling under your own brand — we offer a white-label option. Removal of our imprint requires explicit written consent and is subject to a fixed fee of NZD $800.

Legal Waiver: By selecting the white-label option, the client expressly consents to waive Monoline’s right of attribution for the project deliverables. This waiver applies only to attribution and does not transfer ownership of Monoline’s proprietary methods, templates, or production systems.

Copyright & Legal Compliance

Client Warranty: Client warrants that all materials provided are either:

  • Original work owned by the client, or
  • Properly licensed for commercial publication with appropriate usage rights

Third-Party Content: Client must provide written documentation of licensing agreements for any third-party materials, including stock photos, illustrations, or copyrighted text.

Violations: Client is solely responsible for any copyright infringement, licensing violations, or legal breaches in provided content. Client agrees to indemnify and hold Monoline harmless from any claims, damages, or legal costs arising from such violations.

Termination: Projects involving copyright violations, plagiarism, misrepresentation of ownership rights, or illegal content will be terminated immediately. Any refund will be subject to work completed and governed by Section “Refunds & Cancellations”.

Liability.

Maximum Liability: Our total liability for any claim is limited to the amount paid by the client for that specific project.

Excluded Damages: We are not liable for:

  • Indirect, consequential, or punitive damages
  • Lost profits, revenue, or business opportunities
  • Third-party platform rejections or compatibility issues
  • Missed deadlines caused by client delays or external factors
  • Data loss or corruption not caused by our negligence
  • Costs of recreating lost work due to client system failures

Professional Standards: We maintain high professional standards and exercise reasonable care in all work performed, but make no warranties about market success, platform acceptance, or commercial outcomes.

Time Limit: Any claims must be made within 30 days of project completion. Claims made after this period will not be accepted.

Force Majeure: We are not liable for delays or failures caused by circumstances beyond our reasonable control, including but not limited to natural disasters, government actions, internet outages, or other acts of God.

Governing Law & Contact

Jurisdiction: These terms are governed by New Zealand law. Any disputes — including claims, complaints, or legal proceedings arising from our services — fall under New Zealand jurisdiction.

File Retention: Client files and project materials are retained for 90 days after project completion for technical support (e.g., troubleshooting formatting issues or re-sending deliverables). After this period, files are securely deleted unless otherwise agreed in writing.

Extended Storage: Longer retention can be arranged on request and may be subject to additional storage fees.

Dispute Resolution: We encourage resolving any disputes informally through direct communication before formal legal steps are taken.
